About the firm
Bernard Wealth Management is an independent, fee-only investment advisory firm based in downtown Royal Oak. We provide personalized financial planning, investment management, and retirement-plan support to individuals and families, and we work with businesses on 401(k) and profit-sharing plans. Client assets are held in custody at Charles Schwab, and portfolio management runs on Envestnet Tamarac.
The firm is a boutique practice serving a stable, long-term client base. Our investment approach is grounded in quantitative research and a written Investment Policy Statement for each client, and we accept no commissions on any product we recommend. Client relationships tend to be long-term and personal.
You would join a small, credentialed team that includes a CFA charter holder as President, a Chief Investment Officer, and a CFP® Director of Financial Planning. The firm's size means direct daily contact with each of them and visibility into portfolio construction and financial planning work.
The role
The Client Service Manager helps lead the firm's client-service and operations functions. The role covers day-to-day client service, account administration and custodian coordination, portfolio and planning support, and continuous improvement of firm operating procedures. It is a hands-on position that calls for careful execution, sound judgment, discretion with confidential information, and clear communication with clients, advisors, and custodians.
There is room to grow in this position. The firm supports Series 65 licensure and other credentials such as the CFP®, and offers direct exposure to financial planning work and the chance to take on more portfolio operations work over time. Working in a small firm also means hands-on mentorship from experienced professionals across investment management, financial planning, and operations.
Key responsibilities
Client service and relationship support
- Serve as a primary point of contact for clients and prospects by phone, email, and in person
- Respond to client service requests promptly, professionally, and accurately
- Assist clients with account paperwork, electronic forms, signatures, and other documentation
- Communicate with clients' outside advisors, including CPAs, attorneys, and other professionals, as needed
- Support meeting scheduling, preparation, follow-up, and documentation for client reviews, prospect meetings, and 401(k) enrollment meetings
Account administration and custodian coordination
- Set up new client accounts and additional accounts for existing clients
- Initiate, monitor, and follow up on asset transfers, account updates, beneficiary changes, distributions, contributions, and related service requests
- Interact with Charles Schwab and other custodians to ensure accurate and timely completion of client and firm requests
- Track open items through completion and communicate status clearly to advisors and clients
- Maintain accurate client records and documentation
Portfolio, planning, and reporting support
- Prepare reports, financial-planning materials, and account information for client meetings and reviews
- Review portfolio transactions and account activity for daily processing
- Assist with data entry, reconciliation, report preparation, and quality control
- Prepare spreadsheets and other materials for ad hoc analysis, projects, and internal decision-making
- Support the investment and planning teams as needed
Operations, technology, and process improvement
- Understand, update, and help implement firm operating procedures
- Identify opportunities to improve workflow, documentation, follow-up, and client-service consistency
- Use firm technology platforms, including Microsoft Office, Adobe Acrobat, DocuSign, Tamarac, and custodian systems
- Assist with website and social-media updates, subject to firm review and compliance requirements
Qualifications
Required
- Minimum of three to five years of experience in financial services, preferably in a registered investment advisory, wealth-management, brokerage, custodian, banking, or related professional-services environment
- Bachelor's degree from an accredited institution, equivalent education, or comparable professional experience
- Proficiency with Microsoft Office, especially Excel, as well as Adobe Acrobat and DocuSign
- Strong organizational skills and the ability to manage multiple deadlines and follow-through responsibilities
- High attention to detail and commitment to accuracy
- Clear written and verbal communication skills
- Client-first attitude, with sound judgment and discretion
- Strong quantitative, analytical, and problem-solving skills
- Ability to handle confidential client information with care and professionalism
- Comfortable in a small-firm environment
Preferred
- Series 65 licensure, or willingness to obtain with firm support
- Experience with Tamarac, or with comparable portfolio management, reporting, CRM, custodian, or financial-planning software
- Familiarity with financial planning workflows
Compensation and benefits
- Salary range: $60,000 to $90,000, based on experience and licensure
- Discretionary annual bonus
